Acceptable Use Policy

This Acceptable Use Policy ("AUP") describes what you may and may not do when using products operated by Zyntel Co. Limited ("Zyntel", "we", "us") — including ZyntForms and KantaHub. By using any Zyntel product, you agree to this AUP.

1. Permitted uses

You may use Zyntel products for any lawful purpose that is consistent with the product's intended function, including:

• Creating forms to collect structured information from willing respondents
• Managing laboratory operations, equipment, and clinical workflows (KantaHub)
• Conducting surveys, assessments, and research with appropriate participant consent
• Internal team workflows, checklists, and approvals
• Customer feedback, event registration, and lead collection

2. Prohibited uses

You must not use Zyntel products to:

Deception and fraud

• Create forms designed to deceive, impersonate, or mislead respondents about who is collecting their information and why
• Conduct phishing attacks — forms that impersonate banks, government agencies, or other organisations to harvest credentials
• Collect payment or financial information under false pretences
• Misrepresent yourself or your organisation when collecting data

Harmful or illegal content

• Collect, store, or process data in violation of Uganda's Data Protection and Privacy Act 2019 or any other applicable law
• Collect data from children under 18 without verifiable parental consent
• Collect sensitive personal data (health, financial, government ID, biometric) without appropriate legal basis and security measures
• Create or distribute content that is defamatory, obscene, or harmful
• Facilitate or encourage illegal activities

Spam and unsolicited communications

• Use form response data to send unsolicited marketing or commercial messages
• Distribute form links via spam or unsolicited bulk communications
• Harvest email addresses for purposes other than those stated to respondents

Technical abuse

• Attempt to gain unauthorised access to any Zyntel system, database, or account
• Interfere with, disrupt, or degrade the performance of Zyntel services
• Use automated tools (bots, scrapers) to submit form responses at scale without authorisation
• Attempt to reverse-engineer, decompile, or extract proprietary code or data from Zyntel products
• Circumvent rate limits, plan restrictions, or access controls

Resale and misrepresentation

• Resell or sublicense access to Zyntel products without written authorisation
• Represent Zyntel products as your own white-label product without an Enterprise agreement

3. Healthcare-specific rules (KantaHub)

Users of KantaHub additionally must:

• Ensure that patient data entered into KantaHub is handled in accordance with applicable health information laws and your facility's data governance policies
• Not use KantaHub as the sole system of record for clinical decisions without appropriate clinical oversight
• Maintain confidentiality of patient-identifiable information in accordance with your professional obligations
• Not share account credentials between staff members — each user must have their own account

4. Reporting violations

If you encounter a form or account that you believe violates this AUP — for example, a phishing form that appears to use ZyntForms — please report it immediately to [email protected]. Include the form URL and a description of the concern. We investigate all reports and take action where warranted, including suspension of the offending account.

5. Consequences of violations

Zyntel reserves the right, at its sole discretion, to:

• Suspend or terminate accounts that violate this AUP, without notice where immediate action is required
• Remove forms or content that violate this AUP
• Report violations to appropriate authorities where required by law
• Seek damages where violations cause harm to Zyntel, its users, or third parties

6. Changes to this policy

We may update this AUP as our products evolve. Material changes will be communicated via email or in-product notice. Continued use of Zyntel products after changes take effect constitutes acceptance of the updated AUP.
